Workflow Automation

Workflow automation for the work between your systems

We automate the repetitive steps that sit between people, inboxes and systems: approvals, follow-ups, quotations, purchase orders and onboarding. Your team keeps the decisions, and the copying, chasing and retyping happens on its own.

Sound familiar?

  • Approvals stall in someone's inbox and nobody knows where a request stands.

  • Staff copy the same details from emails into spreadsheets, then again into the ERP.

  • Follow-ups depend on someone remembering, so quotes and payments slip.

What we build

  • Approval flows

Requests go to the right person, with reminders and a clear status for everyone involved.

  • Quotation automation

Requests are read, items priced from your lists and a draft quote prepared for review.

  • Purchase order handling

Purchase orders are created, checked against budget and sent to suppliers without retyping.

  • Follow-ups and reminders

Automatic reminders for unpaid invoices, missing documents and open quotes.

  • Employee onboarding

Accounts, documents and first-week tasks set up from a single form.

Example use cases

  • Example

    Quotations for a contractor

Incoming requests and bills of quantities are read, priced from the rate list and drafted as a quote. An estimator checks it and sends it.

  • Example

    Purchase requests in logistics

Requests from depots go through budget checks and approvals, then become purchase orders in the ERP with no retyping.

  • Example

    Collections for a finance team

Overdue invoices trigger polite reminders in the customer's language, and every reply is logged against the account.

  • Example

    Onboarding for a clinic group

HR fills in one form, and the new hire's accounts, contract and induction schedule are set up across your tools.

Works with

  • Microsoft 365
  • Google Workspace
  • Microsoft Teams
  • Email
  • Odoo
  • SAP Business One
  • Zoho
  • HubSpot

And other systems with an API or a reliable export.

How it works

  1. Discover

We map one workflow with the people who run it and mark where time goes and where errors creep in.

  2. Build

We automate the repetitive steps and keep people in charge of approvals and exceptions.

  3. Launch

We run it next to the old way first, compare the results, then switch over once your team is trained.

  4. Improve

We monitor every run, fix exceptions and automate the next workflow when you are ready.

Frequently asked questions

Which workflows should we automate first?

Start with work that is frequent, rule based and painful: approvals, quotations, purchase orders, invoice follow-ups or onboarding. We look for a workflow where the lost time is easy to see and the risk is low. Proving the value there makes the next one easier to agree on, and we help you choose it during discovery.

How much does workflow automation cost?

Cost depends on the number of steps, the systems involved, how many exceptions the process has and how much data moves through it. We give a fixed quote per project after a short discovery, and offer a monthly plan for monitoring and new automations. There is no price list, because no two workflows are the same.

How long does it take to automate a workflow?

A first workflow is usually live within a few weeks. Simple approval or reminder flows can be quicker, while flows that touch several systems take longer. We run the new flow next to the old one before switching, so the business never depends on something untested.

Do we need to change our software?

No. We build on the tools you already use, such as Microsoft 365, Google Workspace, your ERP and your CRM. The aim is to remove the manual steps between them, not to move you onto a new platform. If a system has no way to connect, we tell you early and suggest options.

What happens when something goes wrong?

Every automated run is logged. Exceptions, such as a missing field or an unusual amount, go to a person instead of being forced through. We set up alerts so problems show up quickly, and under a monthly plan we fix them and keep the flows current as your process changes.

What do you need from our team?

Someone who owns the process and can explain how it really works, exceptions included. We also need access to the systems involved, usually through a test or sandbox account first. Expect a few short workshops at the start and a review session before launch.

Pick one workflow. We'll show you what it looks like automated.
